1. Information We Collect
We collect information you provide directly: your name, email address, and any coaching content you upload. For leads who interact with the chat assistant, we collect their name, email, phone number (if provided), conversation transcripts, and booking details.
2. How We Use Your Information
We use your information to operate the Service: powering your AI assistant, managing leads, processing bookings, and providing analytics. We do not sell your data to third parties. We do not use your coaching content to train general AI models.
3. Data Storage & Security
Your data is stored securely using Supabase (hosted on AWS). API keys and OAuth tokens are stored server-side and are never exposed to the browser. We use HTTPS for all data transmission and follow industry-standard security practices.
4. Third-Party Services
CoachMag integrates with third-party services including Calendly, GoHighLevel, Google Calendar, Stripe, and AI providers (Anthropic, OpenAI). When you connect these services, we store OAuth tokens to maintain the connection. Each third-party service has its own privacy policy that governs their handling of your data.
5. Cookies
We use essential cookies for authentication and session management. We use a rate-limiting cookie for the public chat to prevent abuse. We do not use advertising or tracking cookies.
6. Data Retention
We retain your data for as long as your account is active. Conversation transcripts are retained for lead management purposes. You can request deletion of your data at any time by contacting us or using the data deletion feature in your dashboard settings.
7. Your Rights (GDPR)
If you are located in the EU/EEA, you have the right to access, correct, delete, or export your personal data. You can exercise these rights by contacting us at support@coachmag.ai. We will respond within 30 days.
8. Lead Data
Coaches are the data controllers for their leads' personal data. CoachMag acts as a data processor. Leads can request data deletion through the coach or by contacting us directly. We provide coaches with CSV export and deletion tools to help them comply with their data protection obligations.
9. Children
CoachMag is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes via email. Continued use of the Service after changes constitutes acceptance.
